Once a batch number has been used, it cannot be used again, even if the batch has been deleted. Deleted batch numbers will NOT be reused. You will still be able to query on gifts with a specific batch number. You will no longer be able to open or commit a batch that has been deleted however, the batch numbers will remain on the gift records. Note the message at the top of this screen. Once you apply the filters you need, check the box to Delete next to each batch you want deleted and click Delete Now. You can select a specific Batch type (Constituent, Gift, or Time Sheet), Display Normal or Recurring batches, Only show committed batches, and Only show my batches. You have various options to filter the results. In the Batch screen, right click and select Delete Multiple Batches. If you decide to delete old batches, you can do this easily by using the Delete Multiple Batches feature within The Raiser’s Edge. Most organizations choose to delete batches after a certain amount of time if they have been committed successfully unless the batch is an active Recurring Batch that is needed for monthly donors. Deleting the Batch will not delete the gifts. Ultimately, the decision is up to your Organization - but remember: the Batch is not the gift, it is the potential gift. Do we need to keep the batches that have been committed? This is a common question and it is a good question. Once we commit the batch, then the gifts become actual records within The Raiser’s Edge. They won’t become gifts until we commit the batch. ![]() We already know that the rows of data within a batch are not actual gifts they are potential gifts. Before we get into the tips and tricks within an actual Batch, let’s talk a little more about Batch in general. By selecting this option, I can locate the batch really quickly.Īlright, that covers the options on the Batch screen. into The Raiser’s Edge but I didn’t go to the batch immediately afterwards. I like to use the Only show batches not committed option when I’ve processed gifts from Online Express, Blackbaud NetCommunity, etc. Those options are at the bottom of the Batch screen with two small boxes to check or uncheck. ![]() There’s two other ways we can filter in Batch. It is easy to change the drop down to display only Constituent batches and then later when you return to Batch, it appears as if all of your gift batches are gone! If you’re ever having a problem locating a specific batch, this is a good place to start your troubleshooting. We can filter on Batch type and we can also choose to Display only Normal or Recurring Batches. Now let’s use some of the filters on the Batch screen to make it even easier to find the Batch we are looking for. Then click New Category to create a new folder for your batches. If you want to add or delete folders, you click the Organize Categories button. I can drag batches from one folder and drop them into another folder to keep them organized. In my sample database, I have a folder for General and I also have a folder for my Constituent batches and my Recurring Gift batches. If your organization has never added additional folders, this is one way to improve your ability to find specific batches. When you go to Batch, you’ll see at least one folder on the left labeled General. We can work to organize the batches and filter them to make that task much easier. If you see many batches listed, trying to find one specific batch can be difficult. Let’s start by when we first go to Batch. They don’t become actual gifts or Constituents until the batch is committed and the records are created successfully. The same thing is true about a Constituent Batch, the rows are not actual Constituent records they are “ potential constituents”. Consider the information in batch as “ potential gifts”. It is important to remember that information in the rows of a Gift Batch are not actual gifts. Batch is a great tool in The Raiser’s Edge, especially when using it for gift entry or adding new Constituent records. There will be another blog post later on working within a Gift Batch this post is specific to the Batch screen itself.
